Dashboard

The dashboard keeps you and your team up to date on all important tasks and practice-relevant notifications. Whether it's about upcoming recalls, ongoing treatments, incoming lab results or overdue invoices - our dashboard ensures that you are always up to date. And the best thing about it: the dashboard can be personalised. You can decide for yourself which information is most relevant to you!

Customer file

Focus on clarity: From master data and appointments to invoices, reminders and credit notes - all information is organised in the vetat.work customer file. The payment status of your customers is discreetly displayed using colour codes. We have also integrated practical emojis that you can use to encode important customer information in a way that your team will understand straight away.

Versatile contact types: You have the option of saving a variety of contact data - whether it's the main contact, additional contacts or different billing addresses. Convenient and done with just a few clicks!

Patient file

All information and functions at a glance: Our patient file is just as clearly organised as the customer file. During treatment, you can switch seamlessly between tabs: from treatment history and medication plans to laboratory and/or X-ray orders. Our integrated search and filter functions make it easier for you to find specific entries and ensure quick results.

Efficient document management: E asily upload patient-specific documents such as external findings or referrals in various file formats.

Prescriptions and medication plans: We understand that veterinary treatments can sometimes be complex. That's why we enable you to create and archive detailed medication plans and official prescriptions. Share these digitally with your clients in just a few clicks or create a manual printout directly from the practice software.

Cost control made easy: With the help of the vetat.work cost estimation function, you can communicate the financial aspects of a treatment quickly and easily. Whether it's a planned examination or unforeseen treatment - create a detailed cost estimate in no time at all, which you can either send directly to your customer or seamlessly convert into a treatment.

Treatment

Automatic time recording of your treatment: Increase your efficiency and bill accurately thanks to vetat.work time recording. As soon as you start a treatment, a stopwatch is automatically started to record your treatment and documentation time. If you need to attend to other tasks in between, you can stop the treatment time manually or conveniently send the patient back to the waiting room. You can also create evaluations of treatment and waiting times with just a few clicks to optimise your processes and appointment management.

Individually configurable documentation templates: Create text modules that you can load into the documentation field with just one click. The anamnesis and examination templates enable quick and standardised documentation. This saves you valuable time and ensures standardised quality in the treatment documentation in your veterinary practice/clinic.

Emphasise important information: Special notes, for example on bite sensitivity, intolerances or long-term medication, are graphically highlighted during treatment to optimally alert you and your team to potential challenges.

Weight and temperature progression curves: Our software automatically creates practical weight and temperature progression curves. This allows you to recognise and react quickly to changes in your patients' state of health.

Connection to HI-Tier: antibiotic consumption notification

From 1 January 2025, the collection and documentation of antibiotic consumption quantities for dogs and cats will be mandatory in accordance with the current version of the Veterinary Medicinal Products Act (as of November 2024). With vetat.work, you are optimally prepared for these new requirements. The system automatically records and documents all applications and dispensing of antibiotics in full compliance with the law. In addition, the data is prepared in such a way that it will easily comply with the requirements of the HI-Tier system from 2026. Thanks to the integrated interface, the reports can be transmitted directly, efficiently and error-free to the HI-Tier system. As a result, vetat.work offers a convenient and reliable solution to meet the new legal requirements and minimise your administrative workload.

Appointment calendar

Intuitive navigation: Using the diary in vetat.work is child's play. Use the drag-and-drop function to move or adjust appointments or assign them to another employee. Switch effortlessly between the diaries of different team members or display the appointments of several employees at the same time in the day view. Our customisable colour coding for reasons for visits allows you to see the type of appointment at a glance and prepare accordingly, even if your diary is full.

Overview of cancelled and emergency appointments: Cancelled appointments are given their own display in the calendar so that you can quickly track appointment capacities that have arisen. In addition, patients without a fixed appointment are listed separately in the emergency calendar - for an even better overview and planning reliability.

Registration

With the virtual registration in vetat.work, you always have an overview of what is happening in the practice: from current appointments and waiting customers to patients undergoing treatment and cases to be billed. Our software automatically records the arrival and waiting times of your customers. Thanks to the practical colour coding, you can see at a glance which appointments are assigned to you or another team member. And for unexpected emergencies, you can create an appointment directly in the virtual waiting room to save valuable time for treatment.

Laboratory

vetat.work offers you interfaces to external laboratories and in-house laboratory equipment (e.g. from LABOKLIN, IDEXX and Zoetis). Select the services offered by the laboratory from a list. The list prices and information on processing times and required materials are displayed directly and regularly updated by us for you.

The laboratory results are automatically transferred to the patient file. A notification in the dashboard keeps you informed of new laboratory results at all times. The laboratory results are displayed in our software as a PDF file and can be printed directly from here or sent to your customers by e-mail.

Of course, we also offer you the option of entering laboratory tests manually. The creation of laboratory parameters and profiles including species-specific reference values is possible on an individual basis.

X-ray

vetat.work provides you with fully integrated interfaces for the digital creation and processing of X-ray images.

Conveniently send an order to your X-ray machine from the patient file or registration. The X-ray images produced are automatically added to the patient's file and can be viewed, analysed, edited and shared using the integrated viewer.

Experience your images in full resolution and quality without burdening your PC or laptop with large amounts of data.

Connection to the WDT marketplace

Discover the WDT marketplace directly in our software! Select your items with the usual variety of the WDT marketplace and keep an eye on all purchasing and delivery conditions. Compare prices, availability and delivery times to make the best possible purchase decision. Place the items you want directly into the shopping basket and conveniently send the order electronically. No more printing out or sending e-mails to the supplier.

Intelligent ordering system

Automatic order suggestions make reordering easier for you: If an item falls below the minimum stock level you have specified, vetat.work automatically suggests it for reordering. Optimise your reordering by selecting the cheapest supplier in the system or increasing the order quantity to achieve a better graduated price. In addition, our clear graphics on order and sales quantities will help you with your next reordering decision.

Pharmacy and warehousing

Thanks to the WDT marketplace's comprehensive integrated article database, you have all the important information on thousands of articles at your disposal - without the need for a paid list of medicines!

Simply set your own sales prices for whole packs and pack units or have the prices calculated fully automatically in accordance with the German Drug Price Ordinance. This means you retain control over your prices and can react flexibly to market conditions.

Receipts and issues lists: Our complete stock history enables you to keep detailed records of receipts and issues. You can record the batch number, the best-before date and the supplier. You can use various filters to customise the receipts and issues list according to your requirements. Whether by article type, diagnosis, vet, supplier or other criteria - you can determine the view of your stock record yourself.

Narcotics: Our immediate recording of all incoming and outgoing narcotics ensures legally compliant documentation of the narcotics stock. In addition, the automatically generated destruction document with witness query ensures that all legal regulations are complied with.

Inventory and inventory history: Record the annual inventory using our inventory count report. All inventories are digitally archived and can be submitted as a PDF file at any time if required. Outside of the stocktake, you can easily check the stock of individual items at any time and correct them if necessary. The check date, the reason for the discrepancy and the checking employee are queried directly and the corresponding name is archived.

Invoicing

Create invoices: Select your veterinary services from the GOT catalogue directly during treatment. Save yourself a long search for individual services: Only the GOT services relevant to your patient's animal species are suggested to you.

Organise the billing according to your wishes: Set a standardised GOT factor for all services and/or define a specific GOT factor individually for each veterinary service or individual client. vetat.work also automatically recognises when you start a treatment in the emergency service. To do this, the software uses information from the currently valid version of the fee schedule for veterinarians, your opening hours and public holidays. If you start an emergency service treatment, the emergency service fee and the emergency service factor you have defined are automatically applied.

You can conveniently select items such as medication or animal feed for invoicing from the integrated item database of the WDT marketplace. With our practical pre-setting function, you can define the preferred type of use (dispensing or application) in advance. And of course you also have the freedom to make adjustments afterwards.

Collective invoices or instalment amounts: Select the services to be summarised into one invoice from the open items with complete flexibility. Our software then generates an invoice form customised to your practice, which contains your opening hours, contact details, account details and logo. Thanks to printed giro codes, your customers can conveniently transfer the invoice via online banking using a QR code scanner.

Reminders: With just a few clicks, all overdue invoices can be displayed in a clearly organised list. The reminder is created automatically by vetat.work with your predefined texts and reminder fees. Select your preferred communication method for your reminders - whether you prefer to print them out as a letter or send them directly as an e-mail from the software, reminders will be dealt with quickly in future. vetat.work even automatically recognises the next reminder stage and guides you through the entire reminder process. This means you will no longer miss any unpaid invoices and payment deadlines!

Credit notes: If an item is returned, you can easily create a credit note with vetat.work, which you can then offset directly against your customer's open items or invoices in the cash register or leave as a credit until your customer's next visit.

Automatic billing aids

At vetat.work, we want to make billing in everyday practice/clinic work as easy as possible for you.

Customisable treatment templates: Create your own flexible service packages, e.g. for vaccinations, dental restorations, standard surgeries, etc. You can load these into the treatment with just a few clicks. Instead, use the efficient billing aids from vetat.work to create invoices quickly and reliably. This means that no billing items are forgotten and you can achieve standardised billing across the entire practice/clinic.

Automatic creation of service items for your laboratory and X-ray: You can store individual service items for each laboratory order, which are automatically created when the laboratory order is sent. You not only save valuable time, but also money if no more services are forgotten when billing in future, e.g. discussion of findings, sample processing or dispatch costs. Whether external laboratory, in-house diagnostics, faecal or urinalysis - it is not necessary to open a separate treatment to bill the laboratory. In vetat.work, you can automatically call up the stored GOT services and material costs when you send the laboratory order.

Billing for X-ray examinations is just as easy: When the X-ray order is sent, the individual service items are automatically generated for you. Based on the number of X-ray images, the software suggests the corresponding GOT services directly.

TSE-Kasse and DSFinV-K

The German Cash Register Security Ordinance (KassenSichV) requires companies in Germany to equip their cash register systems with certified technical security equipment (TSE) to prevent tampering with cash register transactions.

vetat.work has the ideal solution for you: our cloud-based TSE, provided by our partner fiskaly. All your invoice documents receive a legally compliant electronic signature. The big advantage for you: you have no additional investment costs for cash register hardware! Via the "Digital Interface of the Financial Administration for Cash Register Systems" (DSFinV-K), you can easily provide the tax office with all business transactions recorded by your cash register in a standardised data format.

Veterinary prescription

Quick and safe: The system reminds you with a red exclamation mark (!) if a veterinary prescription is required for a medication in accordance with the TÄHAV. The software supports you with automatic checks. All you have to do is adjust the dosage. Here too, vetat.work offers a time-saving solution: Store dosage regimens in advance so that they are loaded directly into the prescription.

You can print out the prescription document directly in the practice with just one click or conveniently send it to the customer by e-mail.

Connection to tax consultant

DATEV export: The DATEV export allows you to easily export all accounting data and financial information in a standardised format. This file contains various relevant financial data such as payments, income, turnover and account balances. Download the DATEV file from our software with just a few clicks and make it available to your tax office. Your tax consultant can easily import the file into their accounting software and work with it.

Chart of accounts: In order to categorise financial transactions, structured lists of accounts are used in accounting. In the veterinary practice/clinic, the chart of accounts can contain, for example, accounts for income, expenses, sales of medicines, salaries, taxes, etc. This makes it easier to analyse the accounts later. This facilitates the subsequent evaluation of accounting data and the preparation of annual financial statements and tax returns. vetat.work works with the common standard chart of accounts skr03. You still retain the freedom to customise accounts according to your needs or to add further accounts. We are happy to work with your tax advisor to find the optimum solution for you.

Scanner

Simply scan and you're done! With the barcode scanner, medicines can be recorded in vetat.work at lightning speed and without errors.

You and your team save valuable time both when receiving goods and when dispensing medicines. Especially in stressful times, the scanner provides noticeable relief and error reduction. Simply use it for warehouse management, stocktaking and invoicing.

Scan the code on the packaging - vetat.work automatically adds all the important data about the medicine. Manual article searches are completely eliminated.

Veterinary clearing centres: BFS, TV Heide, Moveta

Do you work with a veterinary clearing centre (TVS)? Vetat.work offers you interfaces to BFS health finance, Tierärztliche Verrechnungsstelle (TV) Heide and Moveta. Invoicing takes place digitally in the software after treatment. The data is then transferred from the software to the clearing centre via a secure interface. Digital, efficient and time-saving.

Analyses and reports

With our stock history, you can seamlessly track the incoming and outgoing medicines in your practice/clinic. You can also log the batch number, the best-before date and the supplier. With the help of various filters, you can customise the incoming and outgoing list according to your needs during the evaluation. When it comes to the particularly sensitive topic of narcotics lists, you are ideally equipped with our practice software. With the integration of the Petleo animal health app, vetat.work offers you several practical tools for the digitalisation of your daily practice routine.

I. Online appointment booking and digital client registration
Petleo allows pet owners to conveniently book online appointments via the app. You can confirm, postpone or reject appointment requests directly in vetat.work. You retain complete control over which appointments, time periods and reasons for visits are released for booking in your calendar.

II AI assistant
You can use a microphone to record all important information about your patients' treatment before, during or after treatment. The AI filters and structures the content, converts your input into text using customisable templates and transfers this directly to the patient file.
